Virtual Bookkeeper - HVAC Contractor (QuickBooks Online + Housecall Pro)

Job title: Virtual Bookkeeper - HVAC Contractor (QuickBooks Online + Housecall Pro) Pay: $3/hour Schedule: Full-time, Monday-Friday (part-time considered), with overlap during US Eastern business hours About the role Keep the books clean for a busy HVAC contractor. You'll own day-to-day bookkeeping in QuickBooks Online and keep it in sync with Housecall Pro, our field service and invoicing system: invoices, payments, AR, AP, reconciliations, and a clean monthly close. Trades or construction experience is a big plus - you already know what a deposit, a progress bill, a job cost, and a subcontractor payment look like. What you'll do | Sync Housecall Pro invoices and payments into QuickBooks Online; find and fix mismatches | AR: send invoices, post payments, chase past-due balances, run a weekly AR aging | AP: enter vendor and subcontractor bills, track due dates, prep payment runs | Reconcile bank, credit card, and merchant accounts every month | Job costing: tag income and expenses by job, track deposits and progress billing | Collect W-9s and COIs from subcontractors; prep 1099 data at year end | Month-end close and simple reports: P&L, AR/AP aging, cash position Who you are | 2+ years of bookkeeping; QuickBooks Online required, Housecall Pro strongly preferred (ServiceTitan or Jobber experience also helps) | Trades, construction, or home-services books on your resume is a big plus | Fluent written English and clear spoken English for calls with our team and vendors | Detail-obsessed and deadline-driven; comfortable with US bookkeeping norms (sales tax, 1099s) | Reliable internet, a secure workspace, and overlap with US Eastern hours Tools: QuickBooks Online, Housecall Pro, Google Sheets / Excel Why join Competitive pay and steady, long-term work with a growing company.
