JOB SUMMARY: Seeking a Virtual Administrative Coordinator position who is responsible for providing high-level administrative and organizational support to businesses, executives, and teams. This role involves managing day-to-day operations, coordinating schedules, handling communications, and ensuring seamless workflow. I am proactive, detail-oriented, and capable of managing multiple tasks efficiently in a remote environment. KEY RESPONSIBILITIES: 1. Administrative Support - Organize and maintain digital files, records, and documents. - Perform data entry, document formatting, and file management. - Draft, proofread, and edit emails, reports, and presentations. - Prepare meeting agendas, take minutes, and distribute action items. 2. Calendar & Schedule Management - Manage and coordinate calendars for executives and teams. - Schedule meetings, appointments, and travel arrangements. - Send reminders and follow-ups to ensure commitments are met. 3. Communication & Correspondence - Handle professional email correspondence on behalf of clients or executives. - Manage inbound and outbound phone calls professionally. - Act as the primary point of contact for clients, vendors, and stakeholders. 4. Project & Task Coordination - Assist in tracking projects, deadlines, and deliverables. - Use project management tools (e.g., Asana, Trello, ClickUp) to manage tasks. - Coordinate between departments to ensure smooth operations. 5. Customer & Client Relations - Respond to inquiries, concerns, and requests professionally and promptly. - Provide excellent client support via email, chat, or phone. - Maintain client databases and ensure up-to-date records. 6. Financial & Billing Support - Assist with invoicing, expense tracking, and basic bookkeeping. - Manage vendor payments and expense reports using tools like QuickBooks or Xero. KEY SKILLS & COMPETENCIES : - Excellent organizational and time-management skills - Strong verbal and written communication skills - Proficiency in Microsoft Office (Word, Excel, PowerPoint) - Familiarity with project management tools (Trello, Asana, M[hidden], ClickUp) - Ability to multitask and work independently - Attention to detail and problem-solving skills - Discretion and confidentiality when handling sensitive information QUALIFICATIONS : - Experience: Worked for Bosin Enterprises for 6 months. - Education: ALX Certificate in Virtual Assistant - Tech-Savviness: Ability to quickly adapt to new tools and software.
