CONSTRUCTION VIRTUAL ASSISTANT (REMOTE) Right now our project manager is confirming subs at 9pm from the front seat of a truck. Supplier quotes sit unanswered for days. A sub's insurance lapses and we find out when the GC asks for the certificate. None of that is a people problem. It's an admin problem, and we want one person to own it completely. We do residential and light commercial remodels. You won't be on site. You'll be the reason the site runs. WHAT A NORMAL DAY LOOKS LIKE (our time) 7:30 Pull tomorrow's schedule. Confirm every sub and every delivery. Anyone who hasn't replied gets a phone call, not a second email. 9:00 Chase open supplier quotes and RFQs. Bid deadlines do not get missed on your watch. 11:00 Turn last night's crew photos and texts into a daily job log and a client update that reads like a professional wrote it. 2:00 Change orders out. Signatures chased. Invoices and progress payments tracked and followed up. 4:00 Update the tracker: permit status, inspection dates, sub insurance expiry, open RFIs. Flag anything that's going to bite us next week. YOU'LL KNOW YOU'RE DOING THIS WELL WHEN - No sub shows up to a locked site, and no site sits waiting on a missing sub - We never again hear about an expired insurance certificate from somebody else - Clients tell us we're the most organized contractor they've worked with - Our project manager stops doing paperwork at night WHAT WE NEED - Real coordination experience in construction, trades, or development. If you've never dealt with a permit office or a sub who ghosts, this will be rough. - Written English strong enough to email a client, a supplier and an inspector in the same hour - Google Workspace, Excel / Google Sheets, QuickBooks - Buildertrend, Procore, JobTread or CoConstruct is a bonus, not a requirement - You chase things until they're closed, without being reminded. That is the job. - Reliable power and internet, a quiet room, a headset, and no hesitation about picking up the phone NICE TO HAVE Material takeoffs, reading plans and spec sheets, job costing with cost codes, experience with city permit portals. BEING HONEST: DON'T APPLY IF You want to live inside a task list. Half this role is calling people who don't want to be called and politely refusing to let go. If that drains you, you'll hate this by week three and so will we. THE ARRANGEMENT Full-time, Monday to Friday, with at least four hours overlapping our morning. First week is a paid trial.
